From Idea to Delivery: The Complete Custom Canvas Tote Bag Process

Wondering what happens when you order custom canvas tote bags? From choosing the fabric and preparing your artwork to approving the digital proof, production and final delivery, here is the complete process from start to finish.

You do not need to have everything figured out before you begin. Whether you already have print-ready artwork or only a logo, reference image or general idea, our team can help you work through each step before production.

Step 1: Start With Your Idea

Every custom tote project starts a little differently.

You may already know exactly what you want, or you may only have a logo, brand colors, an event theme or a reference photo. Either way, that is enough to get started.

You can send us your:

  • Logo
  • Artwork
  • Brand colors
  • Reference photos
  • Text or slogan
  • Existing tote bag design
  • Or simply an idea of the look you want

From there, we can help you determine the most suitable bag specifications and prepare the design for production.

Step 2: Choose Your Canvas Tote Specifications

Next, we confirm the basic construction and material of your tote bag. This usually includes:

  • Fabric color
  • Canvas weight
  • Flat or bottom-gusseted construction
  • Bag dimensions
  • One-side or two-side printing
  • Printing or decoration method
  • Order quantity

If you are unsure about any of these options, you can always ask us before finalizing your order.

Step 3: Choose From 16 Standard Canvas Colors

Our custom canvas tote bags are available in 16 standard fabric colors, giving you a wide range of options for different brands, events and merchandise projects.

However, colors displayed on a computer or phone screen may look slightly different from the actual fabric. Screen brightness, display settings, lighting and photography can all affect how a color appears online.

For standard colors such as black, white or gray, this is usually relatively straightforward. For colored fabrics, especially when the exact shade matters, we can take an additional step before production.

Step 4: Confirm the Actual Fabric Color

For colored tote bags, we can provide real photos of the available fabric swatches before production begins.

In some cases, there may be two or three similar fabric options available. For example, one fabric may have a slightly warmer tone while another may be slightly cooler.

We can show you the actual fabric options so you can compare them and choose the shade that is closest to what you have in mind.

This is particularly useful for colors such as camel, beige, green, blue, pink and other shades where small differences in tone can noticeably affect the final look.

Our goal is to let you see the actual fabric color before production instead of relying only on what appears on your screen.

Need a Color That Is Not Listed?

If the color you want is not included in our 16 standard options, feel free to contact us.

We have additional fabric options available and can check whether there is a shade closer to your reference image, brand palette or project requirements.

If you already have a specific color in mind, simply send us a reference and we can check the available options for you.

Step 5: Choose the Right Canvas Weight

Canvas weight affects how light, structured and substantial your finished tote bag feels.

  • 6 oz canvas: lightweight and cost-effective, making it a practical option for events, giveaways and larger promotional orders.
  • 10 oz canvas: more structured while still flexible, making it a balanced option for everyday use, branded merchandise and general-purpose tote bags.
  • 12 oz canvas: thicker and more substantial, making it suitable for premium merchandise, retail products and longer-term use.

The heaviest canvas is not automatically the best choice for every project. The right weight depends on how the bag will be used, the appearance you want and your budget.

For a more detailed comparison, read our 6 oz vs. 10 oz vs. 12 oz Canvas Tote Bag Guide .

Step 6: Choose Flat or Bottom-Gusseted

The construction of the bottom also changes how the tote looks and behaves when it is filled.

A flat canvas tote has no built-in bottom depth. When empty and laid flat, it has a simple rectangular shape with straight edges. As you add more items, the bag itself becomes fuller and rounds outward around the contents.

A bottom-gusseted tote has a base that opens to provide additional depth. Our standard gusseted construction has a bottom gusset only, without side gussets.

The top opening stays at the specified width, while the lower part of the bag may taper inward slightly because of the bottom construction.

For a detailed explanation, read our Flat vs. Gusseted Canvas Tote Bags Guide .

Step 7: Choose Your Printing Method

The best customization method depends mainly on the complexity and style of your artwork.

Embroidery

Embroidery creates a textured, stitched finish and works especially well for relatively simple logos, text and graphics.

We generally do not recommend embroidery for extremely detailed artwork, very small text, complex gradients or designs with many tiny elements.

Because embroidery recreates your artwork using thread, very intricate details may not reproduce as clearly as they would with a printed method.

If you are considering embroidery, send us your artwork and we can help determine whether it is suitable.

Heat Transfer Printing

Heat transfer provides much more flexibility for detailed and full-color artwork.

It works well for:

  • Multi-color logos
  • Illustrations
  • Detailed graphics
  • Fine lines
  • Complex artwork
  • Full-color designs

If your design contains many colors or small visual details, heat transfer is usually the more flexible option.

Step 8: Send Us Your Artwork — or Let Us Help Design It

You do not need to have a perfect print-ready file before ordering.

We offer free artwork support, so if you only have a logo, reference image, text or general concept, our team can help organize the design and prepare the layout for your tote bag.

For example, we can help with:

  • Artwork sizing
  • Logo placement
  • Text placement
  • Overall layout
  • Simple design adjustments
  • Preparing the artwork for production

Vector files such as AI, EPS, SVG and PDF are ideal when available, but high-resolution image files may also work depending on the design.

If you are not sure whether your artwork is suitable, just send us what you have and we can review it for you.

Step 9: Receive Your Digital Proof

Once the bag specifications, fabric and artwork are confirmed, we prepare a digital proof before production.

The digital proof shows how your finished tote is expected to look and includes important details such as:

  • Artwork size
  • Logo or text placement
  • Print position
  • Overall design layout
  • Bag color
  • Relevant bag construction details

For example, if you want your artwork to be approximately 6.5 inches wide, horizontally centered and positioned slightly above the vertical center of the bag, those details can be shown in the proof.

Digital proofs are generally prepared within approximately 24 hours on business days once the required details are available.

Step 10: Review and Approve the Final Details

Before we begin production, take a moment to review your digital proof.

Check the artwork size, placement, bag color and any other important specifications. If you would like to make a change, let us know and we can revise the proof before production.

We do not begin production until the final digital proof and product details are approved.

This approval step is important because custom products are made specifically for your project. Confirming the details first helps prevent misunderstandings later in the process.

Step 11: Production — Approximately 4–7 Business Days

After you approve the final digital proof, your order moves into production.

Normal production time for custom canvas tote bags is approximately 4–7 business days.

It is important to note that the production timeline starts after final proof approval.

Time spent discussing fabric colors, comparing swatches, preparing artwork, revising the design or making changes to your digital proof happens before production and is therefore not included in the 4–7 business day production timeline.

Step 12: Shipping — Approximately 5–8 Business Days

Once production is complete, your order is prepared for shipment.

Standard transit time is normally approximately 5–8 business days.

Production time and transit time are separate stages.

The complete process looks like this:

  1. Share your idea or artwork
  2. Choose your bag specifications
  3. Confirm fabric color
  4. Prepare or finalize the artwork
  5. Receive your digital proof
  6. Approve the final proof
  7. Production: approximately 4–7 business days
  8. Shipping: approximately 5–8 business days
  9. Receive your finished custom tote bags

All production and transit estimates above refer to business days.

Ordering for an Event or Specific Deadline?

If your tote bags are for a trade show, conference, convention, school event, product launch, market or another project with a fixed date, let us know your deadline as early as possible.

Send us your event date and delivery location, and we can review the artwork status, production requirements and shipping timeline with you before production begins.

This is especially important because the time spent reviewing artwork, confirming fabric colors and revising proofs is separate from the standard production timeline.

From Your Idea to the Finished Tote

The custom tote bag process does not have to be complicated.

You can start with a finished design or simply an idea. We can help you choose the fabric, compare actual colors, select the right canvas weight and construction, prepare the artwork and review the final digital proof before production.

If you have questions at any point in the process, feel free to contact us. We are happy to help you work through the details before you place your order.
